Administrative Assistance –
Education Department
Full-time/Salary


NATURE OF WORK

Effective immediately an Administrative Assistant position is available in our Education Department. The Education Administrative Assistant is responsible for coordinating program logistics, facility usage, registrations, resources and record keeping for the Education Department. The Administrative Assistant is responsible for a variety of tasks that require independent judgment and knowledge of office procedures and practices. The Administrative Assistant coordinates all aspects of the registration system and is also responsible for scheduling groups, education programs and birthdays. The Education Administrative Assistant maintains the building for efficiency, safety, appearance and security. This position plays a vital role in serving as an ambassador for the department by coordinating with other departments within the Zoo and greeting, assisting and directing Education Department guests, callers and volunteers. The Administrative Assistant aids program development and execution as needed. The Administrative Assistant reports to the Education Curator - Programs.

ESSENTIAL FUNCTIONS

  • Establish and maintain positive, cooperative, and effective working relations with fellow employees.
  • Constantly exhibit a customer service attitude, a smile, and an obvious interest in visitor comfort and service.
  • Communicate with the public in a courteous and tactful manner and assist visitors with questions and directions to various areas of the Zoo. Address the visitor - do not wait to be asked.
  • Remove trash and debris from public areas; i.e. pick up litter whenever you see it.
  • Provide positive leadership and support for members of the Education Department, Zoo and volunteers.
  • Greet, assist and direct education visitors, callers and volunteers in a friendly and professional manner.
  • Coordinate booking, scheduling and staffing of birthday programs.
  • Manage all aspects of the booking system including data entry, special reports, registration for education programs and cash handling.
  • Maintain financial records, reports, minutes and special projects for the department.
  • Perform a wide range of administrative tasks and assist Education Staff in developing curriculum for educational programming.
  • Manage the building for appearance, efficiency, security and safety; including initiating, executing and following up on projects, work and purchase orders.
  • Support the Zoo’s mission of conservation and collaborate with Zoo staff to insure accurate dissemination of information and maximum use of the Zoo’s resources.
  • Any and all other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Proven team player with strong leadership skills, positive outlook and ability to work effectively and diplomatically with diverse groups of people.
  • Ability to communicate clearly and concisely orally, in writing, in person and by telephone.
  • Excellent customer service skills.
  • Knowledge of office techniques and best practices.
  • Ability to organize and coordinate multiple projects while using time efficiently.
  • Ability to be attentive to details and respond quickly and effectively under pressure.
  • Ability to comprehend and follow oral and written instructions.

MINIMUM QUALIFICATIONS

  • Ability to work weekends, holidays and occasional after-hour assignments
  • Associate degree with 3 years of professional work related experience.
  • Knowledge or experience in science, education or informal programming preferred.
  • Computer skills in a variety of software packages including Word, Microsoft Works and Excel.
